Sharing Assessment findings with programs

  • 1.  Sharing Assessment findings with programs

    Posted 10-04-2018 12:37
    Good Afternoon,

I am new to CLASS and would like to know how assessment findings are reported.  Does the observer provide the Observation sheets and/or the scoring summary sheet, and is provided to the classroom teacher and or the administrator of the program?  How much time should be allotted for sharing and feedback after the observations?  If feedback and sharing cannot happen immediately after, what is recommended for the amount of time between observation and sharing?

    Thank you for your help!

We did a lot of training on CLASS before we ever starting the formal observations.  We wanted to ensure staff understood what it was, how it was helpful and how we were going to use the information.  We go over the observation with all of the education staff in that classroom, since they all play a role.  We look at areas of strength and those needing improvement.  We set goals, with steps in reaching those goals.  The feedback is also shared with admin.

When we first started using CLASS several years ago we decided to only share ranges with the teaching staff. Many teachers want to do their best so we felt if they heard the exact numbers (3, 5, or 1) they would hyper-focus on that and get stuck with the negative emotions that come with "I'm not measuring up". Instead we let them know Instructional Learning Formats was in the Mid-Range. We list things we saw the teacher did well, and then give a suggestion or two for improvement. Depending on the teaching team we may choose one dimension and ask them to focus their attention on only one dimension for a period of time so as not to overwhelm them. One thing as a supervisor I struggle with is no matter how much I point out the million wonderful things a team did well and then list 2-3 items to look at increasing teachers still walk out with shoulders slumped and an "I stink at this" expression. I have found it takes about an hour to review the results from an observation. This does include reviewing the definition of each dimension, indicators, what the teachers were observed doing that line up with the indicators etc.

In my district we have been told to share the score sheet with them to put in their Step Up binder for the state.  We also put together a more user friendly form stating things they are doing well, things they might do sometimes but we need them to do it more, and things to change or add.  We also have a form for them to complete to help with coaching since that is what CLASS is all about.

I have been asked not to share the score sheets, only the observations.

In our agency CLASS has been a 'scary' thing for staff. Which unfortunately caused unnecessary anxiety and panic among staff. This year we implemented some reflection documents to help staff focus on their strengths and a couple areas of improvement rather than the numbers (Scores) and detailed notes telling what happened and what did not happen.

The Supervisor, coach, and teaching staff will sit down together to have a focused conversation based on the questions on these documents.

We just started so I have not heard any feedback yet but we are hoping that staff will just do what they always do and not try to prepare and perform for the CLASS observer.

I use a strength based approach when sharing observation results. Emphasizing the dimensions they score high in and how they support children's learning. For lower scoring items I find examples of what they did demonstrate. For example, they asked an open ended question and had one back and forth Exchange.  I point that out and ask how can you keep that going for more exchanges. I think it's important to focus on why these strategies are important for children's learning. The Dimension guides are an invaluable guide for this and concrete strategies to use to improve in the dimension.

For Community Services Bureau at Contra Costa County Head Start program, we have a monitoring unit that include Certified CLASS observers. After observation, the observer spends 20 m. with the Site supervisor and the lead teacher to give them a general info and reflections on the observation .  She sends a written report to SS, lead teacher, and administrators within a week of the observation. The report includes the observation form, the scoring summery and one more form, feedback form, that summarize the findings. If there is finding they have 4 weeks to provide Corrective Action Plan, which is part of the Feedback form. They have other 4 weeks to validate the plan which can include training guidance, coaching or any other strategies that can improve the CLASS practices.
